Administrative Management q Prepare all meeting agendas, notices, proxies, election ballots and all other materials needed to meet the legal requirements for a particular meeting as well as attending. q Provide manager reports, contracts, bid proposals, and all relative correspondence to the board in advance of the board meeting. q Provide 24 hour, 7 days-a-week emergency answering service. q Administer to the enforcement of governing documents, bylaws, rules & regulations and architectural controls. Issue violation letters in accordance with the association's enforcement procedures. q Facilitate in the preparation and distribution of letters, bulletins, and newsletters. q Prepare and distribute welcome packages to new property owners, if contracted to do so. q Assist in acquiring insurance policies as required by State Law and the association’s governing documents. q Maintain all association records and provide access, upon written request, as per Florida Statutes. q Professional Consultation: Advocate the use of professionals in all facets of association management where needed, such as: q Legal counsel in all matters, including liens, foreclosures, governing document amendments. q Certified Public Accountant in year end financial reporting, if required or requested. q Obtain the best insurance company/agent possible. q Professional engineer where new building specification need to be written.
